Broker Email Templates for Freight Dispatchers
The fastest dispatchers aren't writing emails from scratch every time. These four templates cover the most common situations โ reaching out on a DAT load, pushing back on rate, requesting a check call, and following up on delivery. Copy them as-is or adjust to match your voice.
If you use the Lane Edge Chrome extension, pressing M on any load opens a pre-filled Gmail draft with the broker's email, load origin, destination, and reference number already populated โ so you're starting from context, not a blank page.
Cold Outreach โ DAT Load Inquiry
Most UsedUse this when you find a load on DAT One and want to reach out to the broker quickly. Replace the [bracketed] fields.
Hi [BROKER NAME], I'm reaching out about load [REF#] posted on DAT โ [ORIGIN] to [DESTINATION], picking up [PICKUP DATE]. We have a [TRAILER TYPE] available in [ORIGIN CITY] and can cover this lane. RPM works on our end. Can you confirm the load is still available? Happy to send our packet over right away. Thanks, [YOUR NAME] [COMPANY NAME] [PHONE NUMBER]
Keep it short โ brokers skim dozens of emails. The subject line with the REF# helps them find the load immediately.
Rate Negotiation โ Counter Offer
High ValueUse when the posted rate is below market and you want to counter without burning the relationship.
Hi [BROKER NAME], Thanks for getting back to me on load [REF#]. The posted rate of $[POSTED RATE] comes to $[POSTED RPM]/mi on this lane. With current fuel costs and [ORIGIN]-[DESTINATION] deadhead, we'd need $[YOUR RATE] to make it work โ that's $[YOUR RPM]/mi. DAT rate check for this lane this week is averaging $[DAT AVG RPM]/mi, so we're right in line. Let me know if you can get there โ we're ready to move fast on this one. [YOUR NAME] [COMPANY] [PHONE]
Always lead with data (RPM and DAT average) rather than just saying "the rate is too low." Brokers respond better to numbers than complaints.
Check Call Request
In TransitUse when you need to check in on a load your driver is running. Keeps the broker updated without friction.
Hi [BROKER NAME], Check call for load [REF#] โ [ORIGIN] to [DESTINATION]. Driver: [DRIVER NAME] Current location: [CITY, STATE] as of [TIME] ETA to [DESTINATION]: [ETA DATE/TIME] Status: [On schedule / Running approximately X hours late] [Add any relevant notes โ weather, traffic, facility delay, etc.] Let me know if you need anything else. I'll send another update at [NEXT CHECK TIME]. [YOUR NAME] [COMPANY] | [PHONE]
Proactive check calls build trust with brokers and reduce inbound calls from them. 2-3 per load is standard on long hauls.
Delivery Confirmation + POD Request
Post-DeliveryUse immediately after delivery to confirm with the broker and start the payment clock.
Hi [BROKER NAME], Load [REF#] has been delivered successfully. Delivery details: - Consignee: [DELIVERY LOCATION] - Delivered: [DATE] at [TIME] - Delivered to: [NAME OF PERSON WHO SIGNED] - Any exceptions: [None / describe any issues] POD is attached to this email. Please confirm receipt and let us know if you need anything else to process payment. It was a pleasure working with you on this one โ hope to do it again soon. [YOUR NAME] [COMPANY] | [PHONE] | [EMAIL]
Sending the POD immediately after delivery gets your invoice into the broker's queue faster โ some brokers pay same-day on quick POD delivery.
How Lane Edge Speeds Up Email Outreach
Manually copying a broker's email, opening Gmail, pasting, and writing context for every load you evaluate is one of the biggest time sinks in dispatching. Lane Edge solves this with one keystroke.
When you're browsing loads on DAT One with the Lane Edge extension, pressing M on any load opens a pre-filled Gmail draft that already contains:
- The broker's email address (pulled from the load listing)
- Load origin and destination in the subject line
- Reference number
- Pickup date
You start typing the actual message content โ not re-entering information that's already on your screen. Combined with a saved template, you can go from "found a load" to "email sent" in under 20 seconds.
